What AI automation actually costs an Indian small business

An AI automation for an Indian small business costs a one-time setup, then a small monthly bill to keep it running. Our AI automation package starts from ₹25,000 for one workflow. Running costs start with a server at about ₹699 a month, plus WhatsApp and AI charges, which we pass on at cost with nothing added.

The setup fee depends on the task. A simple reminder flow can come in under that figure, and a workflow with many systems can go above it. We give the final number after we have taken and analysed the requirements, not before.

What does AI automation cost an Indian small business?

There are three costs, and quotes that only show one of them are the ones that surprise you later.

The setup is the largest number. The tools are the smallest, but they never go to zero, and you should know them before you start.

What do the tools cost each month?

The automation tool. We build most workflows on n8n. Its self-hosted Community Edition is free to use. Sliplane’s 2026 breakdown makes the same point we make to clients: free software still needs a server, storage, backups and someone to maintain it. If you would rather not host anything, n8n’s cloud plans start at €20 a month, billed annually.

The server. This is the real running cost. If we host it, the minimum is about ₹699 a month on a Hostinger plan.

WhatsApp. Meta charges per message, and the price depends on the category. Marketing messages cost the most and utility messages less. According to Baat’s 2026 guide, replies inside the 24-hour customer service window are free for the first 1,000 a month per business number. Messages your customers send you are never charged. Meta updates these rates from time to time, so check the current rate card before you plan a large campaign.

AI. AI models are charged by usage. A flow that reads a short message costs very little. A flow that reads long documents every hour costs more.

We do not add a margin on WhatsApp or AI charges. You pay what the provider charges.

What should a small business automate first?

For most small businesses, start with appointments, reminders and birthday messages.

Think of a clinic in Kukatpally or a salon in Madhapur. Someone at the front desk calls or messages each patient the day before. They send birthday wishes when they remember. When the desk is busy, reminders get missed and appointments get missed with them.

An automation sends the reminder on WhatsApp at the same time every day, from the booking list, without anyone remembering to do it. It replaces a repeated task that one person does by hand, and it does not get tired on a busy Saturday.

For larger or document-heavy businesses, the first automation is usually different:

• Document processing, such as reading invoices or forms and pulling out the fields you need.
• Data cleaning, such as fixing duplicate or badly typed customer records.
• Reporting, such as a weekly sales summary built from the spreadsheet your team already fills in.

We run websites that publish content to the blog, Instagram and Facebook automatically. One piece goes in, and it goes out to each channel in the right format.

When is AI automation not worth it?

Automate only what is meaningful. A task is worth automating when it repeats often, follows the same steps every time and costs you time or customers when it goes wrong.

If a task happens twice a month, the setup fee will take years to pay back. If the steps change every time, the automation will need constant fixing, and the upkeep cost grows. In both cases, we will tell you to wait.

• a review of the workflow as your team does it today,
• one automation built, on n8n or a similar tool,
• WhatsApp or email integration,
• handover to your team, so they know what it does and what to do when something looks wrong.

₹25,000 is the general setup cost for WhatsApp automation, lead handling and data automation. Depending on the task, the figure can go down or up once we have analysed the requirements.

After handover, three things are separate: maintenance, API charges and cloud or server costs. You will see each of them before you agree to anything.
